event character and conditions of participation

The Three Kings Ultra Trail is a trail running event in the southwestern district of Cham and the eastern district of Regensburg. The route sections include some difficult hiking trails that require appropriate skills from each participant.

  • Each participant must be aware of the length of the route and the physical challenge and be prepared for the competition
  • By registering, each participant confirms his or her full fitness to take part in this endurance competition with extreme physical demands.
  • Each participant must be sure-footed on technically demanding paths and climbs.
  • Each participant acknowledges the closing times of the supply points as determined and announced before the race.

Instructions from race management and functional staff

The instructions of the race management and the functional staff must be followed at all times.

course

The course of the route must be followed. If the route is left, the driver must return to the point where the route was deviated and then follow the original route.

The organizer reserves the right to change the route at short notice due to closures, weather conditions, etc.

All participants are subject to the provisions of the StVO, the relevant provisions of the StVO must be observed

starting groups

The race starts in several starting groups.

The organizer will assign the starters depending on the registered route, estimated running time (participants‘ self-assessment when registering) and any available results (e.g. DUV statistics). Changing the starting group is only possible after justification and consultation with the organizer. The starting group cannot be changed on the day of the race.

The start times of the individual starting groups will be determined in the week before the race and published on the race website.

race bib

The race bib must be worn clearly visible throughout the race. If a runner cannot be clearly identified at an intermediate time or at the finish line because the start number is not visible, this may result in the runner being given a penalty time or the race not being counted for the affected runner.

It is not permitted to change the starting number or to cover the sponsor logos.

The back of the start number with the emergency information must be filled in before the start.

timing / checkpoints

manual gross timing

Intermediate times are determined manually at the VPs. Each participant must report to the VP staff with their name and start number to record the intermediate time, even if they do not use the opportunity to stop for refreshments.

In addition to the intermediate time recordings at the VP, there may be one or more checkpoints along the route where each participant must prove his or her presence at the checkpoint.

Failure to provide proof at a VP or checkpoint may result in disqualification or, at the very least, in the runner being given a penalty time.

The finish time is recorded by the runner’s feedback to the timekeeper.

time limits/cut-off times

The finish closing and VP closing times specified in the tender apply.

Because we want to provide a running experience for everyone, there are NO cut-off times. However, we cannot guarantee that the supply points will be fully maintained until everyone has arrived. If necessary, the participant must inform the race management by telephone that they have arrived at the supply point. The finish line closing time remains unaffected by this regulation.

The race direction reserves the right to adjust the VP and finish times depending on weather or route conditions.

equipment and clothing

The mandatory equipment must be carried with you throughout the entire race.

The type and extent of compulsory equipment are specified in the tender.

Race direction can carry out random checks on whether the mandatory equipment is carried during the race before the start and at the supply points. Failure to carry the mandatory equipment may result in disqualification.

Each participant is responsible for wearing or carrying clothing appropriate for the weather.

The use of poles is permitted. If poles are used, they must be carried by the participant themselves from the start to the finish.

rating categories

The DLV age categories apply. The transition from one age category to the next always takes place at the beginning of the calendar year in which the year of life determining the age category is completed.

elimination from the race

If a participant is taken out of the race by the race direction, track marshals or race doctor, he must follow this instruction.

This can be from:

  • medical reasons, due to exhaustion, injury or similar
  • gross violations of the rules

If the participant has to withdraw for medical reasons, he or she is obliged to use the return transport provided by the organizer.

Participants who decide to withdraw from the race (e.g. exhaustion, injury, etc.) must immediately notify the race management either by telephone or at one of the official course marshals. Costs incurred due to search operations for a participant who has not withdrawn will be invoiced to the participant by the organizer.

return transport

Return transport to the finish after dropping out of the race (shuttle service) can only be guaranteed from a supply point, except in the case of an injury that makes it impossible to reach the next supply point.

Waiting times must be accepted here.

emergency medical care

Extensive first aid kits are available in the start/finish area and at the supply points.

Each participant is obliged to provide first aid in an emergency and, if necessary, to stay with an affected participant until emergency services or rescue teams arrive.

In the event of a medical emergency, the race direction must be informed immediately, if necessary by telephone. The race direction, together with the race doctor, coordinates the further steps required for emergency care.

If the participant commissions third parties, e.g. emergency services, the costs incurred must be borne by the participant themselves or the organizer has the right to reclaim any costs incurred from the participant.

Help from people not involved in the race

Help from third parties (spectators, supervisors, etc.) – with the exception of falls, injuries and other emergency situations – is not permitted during the race. The only exceptions to this are the provision of food, drinks, clothing or replacement materials, as well as medical help.

Accompanying persons who are not registered for the race are prohibited, with the exception of persons accompanying participants with disabilities.

Accompaniment by escort vehicles (including non-motorized ones) is prohibited.

Dogs are allowed to accompany the runners on all routes during the race, but the following rules must be met:

  • Only one dog per runner
  • The minimum age of the dog to participate in the race is 15 months.
  • Dogs must be kept on a leash during the entire race (the route also leads through nature reserves and landscape conservation areas).
  • Proof of dog owner liability insurance valid for the event must be presented when collecting the starting number.
  • Valid proof of vaccination for the common vaccinations leptospirosis / rabies / distemper / parvovirus must be presented when collecting the starting number.
  • Other runners must not be hindered by the dog or the leash.
  • Consideration for other runners.
  • When overtaking other runners, this must be announced in advance. When being overtaken, it may be necessary to briefly move out of the way and hold the dog close.
  • Dog waste bags must be carried and used during the race. The bags can be disposed of at the next VP.
  • The dog’s condition must always be monitored and, if necessary, the race must be stopped. Animal welfare always comes first.
  • Human-dog teams start before or at the end of the main field, if necessary in a hunting start 5 minutes after the main field in 10 second intervals.
  • The organizer is entitled to exclude dogs from the race due to health problems or intolerance.
environmental and nature conservation

Since our runs almost exclusively lead through nature reserves and landscape conservation areas, the environmental behavior of our participants is very important to us.

  • Throwing away any kind of waste outside of the waste containers provided at the supply points or intentionally damaging nature will result in severe time penalties or immediate disqualification.
  • The nature conservation requirements for the route sections in nature reserves must be strictly observed.
  • Food items carried with you (gel, bars, etc.) must be labeled with your start number.
  • No paper cups for drinks will be provided at the refreshment stations.
doping

The organizer reserves the right to conduct unannounced doping tests. Any case of doping will result in the immediate disqualification of the participant. The costs of a positive doping test must be borne by the participant.

disqualification and time penalties

The jury reserves the right to disqualify participants or impose time penalties of between 5 and 120 minutes, for example because of:

  • non-compliance with the rules
  • Failure to follow the instructions of the race management, those responsible for the supply points and checkpoints, police and rescue services
  • Failure to comply with traffic regulations
  • Unvollständiger Pflichtausrüstung, sowie Verweigerung der Ausrüstungskontrolle
  • environmental pollution or deliberate environmental destruction
  • gross unsportsmanlike conduct
  • Failure to pass a checkpoint or failure to report at a supply point
  • failure to provide assistance
  • doping
  • unauthorized route shortcuts

A participant who is disqualified or given a time penalty has no right to a refund of the entry fee.

protest

Any participant can lodge a protest with the race direction if other participants violate the rules or if decisions are made by the race rirection up to one hour after the finish line, naming witnesses. A jury of three members from the race direction and track staff will examine the protest and announce a decision within 24 hours. All named witnesses must appear at the protest hearing.

A protest fee of 100 EUR will be charged. If the protest is lost, the protest fee remains with the organizer.

entry fees

The entry fees must be paid before the start.

For late registrations after the registration deadline or on the day of the competition, a late registration fee must be paid.

After registration, cancellation and refund of the entry fee is only possible in the event of illness (medical certificate). From one week before the registration deadline, only the entry fee minus an organization fee can be refunded. From 5 days before the start, a refund is no longer possible.

The amount of the entry fee is specified in the tender.

cancellation by the organizer

The organizer is entitled to cancel the race at short notice if the minimum number of participants is not reached, or due to weather conditions or the impossibility of carrying out the race (floods, disasters, etc.).

After the registration deadline, only the entry fee minus an organization fee will be refunded. From 5 days before the start, a refund is no longer possible, but the participant will receive a free entry right at the next edition of the race.

In case of cancellation due to the minimum number of participants not being reached, the entry fee will be refunded minus any applicable payment transaction fees.

In all cases, instead of a possible refund, the participant can choose the option of a free start at the next edition of the race.

participant limit

If the minimum number of participants per route is not reached, the organizer reserves the right not to start the route.

If the participant limit for a route has been reached, it is up to the organizer to admit additional participants to the route.

liability

By registering, each participant agrees to the regulations.

Participants take part at their own risk. In particular, each participant is responsible for their own physical fitness. At the start of the event, participants declare that they have no health concerns about their participation and that their physical fitness level meets the requirements of such an endurance competition. The organizer reserves the right to prevent participants from starting or to remove them from the race at any time if there are medical concerns!

Claims for damages by the participant against the organizer or third parties commissioned by the organizer to carry out the event, regardless of the legal basis, are excluded.

If the participant commissions third parties, e.g. emergency services, the costs incurred must be borne by the participant themselves or the organizer has the right to claim any costs incurred from the participant.

No liability is accepted for theft or other damage.

The race and organisation management reserves the right to make any changes to the regulations. If one rule of these regulations becomes invalid, the rest of the regulations remain valid.

tender

The latest version of the tender is part of the regulations; in the event of conflicting statements, the text of the regulations prevails.

data protection

By registering, the applicant declares his/her knowledge and agreement to the following points:

  • Publication and storage of name, first name, place of residence, club, gender and year of birth in the list of participants by the organizer.
  • Publication of the above data and the running time in the results list by the organizer.
  • Passing on the above data and running time to the German Ultramarathon Association.
  • Publication, processing and distribution of photographs and film recordings made in connection with the event.
image, film and sound rights

Participants agree that the images and film material taken during the run and the joint activities on that day may be used without restriction for information, advertising and marketing purposes. Participants are not entitled to any compensation for the images or film recordings.

equal treatment

For reasons of better readability, the male form is used for personal names. In the interests of equal treatment, corresponding terms generally apply to all genders. The shortened form of language is only for editorial reasons and does not contain any evaluation.
